Administrative Coordinator (Los Angeles)

  • POSITION: A medium-sized, well known animal advocacy organization is looking for an individual to coordinate all administrative aspects of the organization’s work that is positive, energetic, excited and passionate about our mission, really wants to be part of our team spirit, and loves animals.

    LOCATION: Most job functions will be performed on the west side of Los Angeles.

    HOURS: Part-time position; 20 to 30 hours per week

    JOB RESPONSIBILITIES:

    • Ensuring that all rescues are entered into the New Hope database, all spay/neuter records are entered, and all monthly follow up with the City is done
    • Tracking all adoptions and entering them into appropriate databases
    • Doing all paperwork that is necessary for county adoptions
    • Entering all donor, contact and donation entries into the donor database
    • Creating donor and donation queries and reports when needed
    • Sending thank you letters to donors
    • Making thank you calls to mid-sized donors
    • Informing Executive Director of all thank you calls for large donations that need to be made
    • Reconciling donations to a certain campaign when needed
    • Overseeing the monthly donor program including making follow up calls, sending quarterly updates and photos of sponsored cats, and getting unsponsored cats sponsored
    • Entering all cats and dogs into the animal database
    • Checking and updating the status of all animals two to three times per week
    • Making sure that people are up to date on entering animals and following up with important information about the animals
    • Posting animals for adoption on the Internet
    • Doing other reports for internal use and County use as needed
    • Implementing social media campaigns
    • Ensuring all email addresses from various sources are entered into contact management software program
    • Working with bookkeeper closely on all spay/neuter statistics
    • Collecting data from various organization programs and putting it into tracking documents and reports
    • Serving as the point person for all veterinarians and ensuring that all bills have our approval
    • Developing the Best Friends Animal Society No More Homeless Pets Network Partners program
    • Managing the organization’s internal calendar
    • Assisting the Executive Director and Board President with projects as needed
    • Attending and assisting with all organization events

    SKILLS/TRAITS NEEDED:

    • Superior written and verbal communication skills
    • Ability to learn and effectively communicate regarding how the organization helps the public and serves animals
    • Self-motivated and able to work with little supervision
    • Ability to apply creative thinking skills to tasks and projects
    • Meticulous attention to detail
    • Highly organized
    • Ability to work well with manager, co-workers and volunteers
    • Proficient with Microsoft Office Word and Excel
    • Donor database and donor relations experience a plus
