Patient Services Supervisor (Westlake Village, CA)

  • The patient services supervisor is responsible for ensuring that incoming phone calls into the pharmacy are managed properly by either addressing the caller’s needs or forwarding the call to the appropriate department. 

    This position is responsible for overall coordination and processing of new patient medication orders and reorders. This includes communicating and collecting co-pay amounts and screening, identifying, resolving or deferring orders that have accounts receivable or clinical problems. This individual works with both internal and external customers to ensure that orders are processed in a timely manner and meet all financial and clinical requirements prior to fulfillment.

     

    Additional tasks:

    • Ensures proper staffing to meet operational needs of the department.
    • Provides appropriate training feedback, and resources for staff to perform essential job functions competently.
    • The customer service supervisor demonstrates attention to detail and focus on customer needs. Speaks knowledgably about the scope of services available through SinuTopic Pharmacy. Effectively communicates information to other departments when necessary.
    • Understands basic drugs, supplies, medical terminology, and therapies/services provided.
    • Efficiently uses pharmacy software for accessing information and processing patients.
    • Manages time effectively to fulfill management responsibilities. Responsible for participating in the process for assessing, managing, and reporting operational feedback to Operations Manager.
    • Responsible for adhering to HIPPA compliance by maintaining confidentiality of patient information and following corporate compliance guidelines.       

    Minimum Requirements:

    • High school education, some college preferred.
    • Must have pharmacy/health care and customer service background.
    • Basic knowledge of a typewriter or computer keyboard, familiarity with Microsoft Office.
    • Detail oriented and ability to communicate professionally with co-workers and clients.
    • Must have strong leadership skills with experience managing cross-functional teams.
    • Ability to read small print on medication labels.
    • Excellent communication skills, flexibility and ability to work as part of a multi-disciplinary team in a matrix environment.
     

     

    Preferred Qualifications:

    • Experience working for compounding pharmacy.   
    • Prior management or supervisory experience of direct reports.
    • At least two years experience in a customer service role.
    • College experience: Associate degree or higher
