Project Coordinator/ Administrative Assistant
A stable Construction Management company that consistently promotes growth and opportunity for its staff is seeking a Project Coordinator/Engineer with Admin Responsibilities. Applicant must be able to interface and communicate effectively and successfully both internally and externally with departments as well as a diverse client base. Construction industry admin experience is required.
PROJECT COORDINATOR/ENGINEER RESOPNSIBILITIES
• Support Project Manager in managing CM projects from Entitlements, Pre- Construction through Post Construction.
• Construction plan management: ordering, receiving, distributing, tracking, and plan indexing
• Bidding: prepare bid instructions, log GC bids, compare bids for PMs to review
• Track and review for accuracy: GC Contracts, GC Change Orders, GC RFI’s, GC Submittals, GC Pay Applications, Subcontractor insurance certificates, and Subcontractors unconditional and conditional waivers
• Track and review accuracy of Consultants Invoices, prepare invoices recommendations for payment for PM to review
• Aid in Monthly Project Reports to Owner – Time, Budget & Progress of project
• Aid PM in scheduling and preparing for Project Meetings
ADMIN RESPONSIBILITIES
• Perform administrative and office support activities for multiple supervisors
• Transmittal of documents and plans
• Meet and greet clients and visitors
• Travel arrangements and coordinating company events
• Setup and coordinate meetings and manages the conference room
• Answer, screen and route all incoming phone calls
• Routing, Filing and maintain file systems
• Data base maintenance and data entry
• Manage office systems.
• Any other admin/clerical duties as assigned
QUALIFICATIONS
Minimum Requirements
• Intermediate-to-advanced computer skills in MS Outlook, Word, Excel, Internet
• Beginner Skills to Intermediate Skills in: MS Project and/or Suretrak
• Strong letter writing and written communication skills
• Outstanding organizational skills and excellent attention to detail
• Strong follow-up skills
• Good judgment and initiative to identify and resolve open items successfully
• Proven success in an environment that requires multi-tasking
• Works well in a team environment
• Able to work independently and great self-starter
• Must be able to multi-task, work in a fast-paced office and learn quickly
• A sense of humor, tact, and diplomacy.
Experience Strongly Preferred
• Minimum 3 to 4 years experience in office management and construction industry administration
