Award-winning cause-marketing firm Causecast has an immediate opening for a Full Time Office Manager in our West LA, CA office and is seeking an experienced professional with proven administrative and organizational skills as well as the chops and desire to work in a small fast-paced start-up.
The ideal candidate will be a self-directed team player with a superior work ethic and a proven ability to multi-task. Job Description
Assist in developing and maintaining an efficient operations system in our office and assist with the refinement of existing systems. Responsible for the oversight of basic bookkeeping, human resources, assisting the executive staff and office operations functions.
Primary Responsibilities:
Basic Bookkeeping: keeping track of receipts and invoices. working with the company’s bookeeper and accounting department. Folowing up with outstanding invoices
Human Resources (HR) Administration: able to coordinate with HR company.
Oversee general HR areas such as recruiting, wage surveys, payroll and benefits administration.
Office Operations: Organize a variety of office duties and procedures such as technology, information management, filing systems, requisition of supplies, reception and other clerical services.
Assisting the executive staff: scheduling/ travel arrangements/ prioritizing executive correspondence/ interacting discreetly and tactfully with high level clientele.
As Office Manager, you’ll be the first face our visitors and supporters will see when they walk in the door and the first voice they hear when they call. Your primary job will be to support the Causecast staff — that can mean anything from answering hundreds of calls to taking care of important errands to managing volunteer requests.
responsibilities:
* * Manage the day-to-day tasks and logistics of our office.
* * Act as the first point for all contacts with Causecast. You’ll welcome new hires, greet guests in person and field the ongoing calls to the office.
* * Keep a consistent appearance and feel to our office space.
* * Help develop and put in place new office procedures.
* * Direct and help the new hires assimilate at Causecast. You’ll dispense info and make sure they understand everything, from the organization’s core mission to which forms to fill out to their specific benefits package, etc.
* * Create and direct the entire intern and volunteer services program. You’ll proactively monitor the each department’s needs and then assign or vet interns and volunteers to take care of each job.
Knowledge/Skills/Qualifications
* MUST HAVE: College degree and previous office administration, or executive assistant experience
* MUST HAVE: Excellent organizational and communication (written and oral) skills with strong attention to detail and accuracy.
* MUST HAVE: Proficiency in Mac OS and Google Docs/Calendar/Gmail.
* Ability to understand, analyze, and communicate financial data.
* Ability to coordinate and present information in an organized and accurate manner.
* Ability to multi-task, prioritize, and meet deadlines.
* Willingness to take on new responsibilities and support duties of fellow staff members.
* Excellent leadership and interpersonal skills.
* Ability to take direction well.
* Can book travel quickly and efficiently.
* Must be able to handle multiple rapidly changing schedules.
* Knowledge of project manager software and accounting software.
* Ability to adapt to a changing environment quickly and easily.
* Ability to work well independently and under pressure, as well as be highly responsive to clients.
* Desire to contribute and be part of a highly creative team.
* Likes working in a highly creative, start-up environment
